Every certificate, every expiry date, one employee file

Contracts, ID documents, qualifications, medical checks and safety instructions live on the worker, not in a folder. The calendar warns you before anything expires, and the crew you send to site is the crew that is allowed to be there.

Employee profile with documents, certificates and expiry status

The problem today

The document exists, somewhere, and it may have expired last month

Expiries are discovered at the gate

A crane operator’s certificate or a medical check lapses and the worker is sent home from a client site, along with the day’s revenue.

Client audits eat days

Each client asks for the same evidence in a different format. Someone assembles it from scans, e-mails and memory, every time.

Onboarding waves overwhelm the office

Thirty new workers in a week means hundreds of documents to file, check and chase, while payroll and site coordination cannot wait.

Employee file

Everything about a worker, structured and searchable

Personal data, addresses and contacts, ID documents, contracts and contract types, financial information, medical information, skills, department and workplace history. Documents are typed, so “show me everyone whose forklift licence expires within 60 days” is one filter, not a project.

  • Certificate types and document types you define
  • Personal QR code for terminals and site checks
  • Folders and workspaces for documents with access control
  • Print-ready profile and document packs for clients

Expiry control

Reminders before the deadline, not excuses after it

Every dated document, certificate, instruction and medical check appears in the calendar. Notifications go to the worker, the responsible manager and HR at the intervals you choose, by e-mail and in the app.

  • Calendar of expiries per company, department and project
  • Notification categories and settings per user
  • Company certificates (ISO, SCC and others) tracked the same way

Frequently asked questions

Can we import our existing employee list and documents?

Yes. Employees are imported from a spreadsheet during onboarding; scanned documents are uploaded in bulk and typed. Document recognition that pre-fills certificate fields from a scan is in development.

Who can see personal and medical data?

Only users with the corresponding right. Medical and financial information have their own rights, separate from general HR access, and every view and change is logged.

Can workers see their own file?

Yes. In the mobile app a worker sees their own documents, certificates, instructions and working time, and receives their own expiry reminders.

How do we hand a client the evidence they ask for?

Print a document pack per worker or per crew as PDF, or give the client’s coordinator a restricted login through the partnership network.
