Field operations · Resources
Where is it, who has it, and is it still allowed to be used?
Equipment, inventory, vehicles and consumables in one register. Each item carries its location, its history of readings and services, its inspections and calibrations, and the date on which it stops being compliant.

The problem today
Expensive things disappear, and the inspection sticker is the only record
Tools walk between sites
Nobody knows which site has the welding machine, so a second one is bought or rented.
Inspections are overdue
Lifting gear, electrical tools and measuring instruments have intervals; a spreadsheet does not send a reminder.
Vehicle costs are invisible
Mileage, fuel, services and registrations sit in different folders; the fleet’s real cost per project is unknown.
Register
Catalogs and items for every kind of resource
A catalog describes the type (make, model, required inspections, default intervals); items are the physical units with serial numbers, identifiers and a current location. Equipment, inventory, fleet and consumables each have their own rules but share one structure.
- Locations, moves and assignments to projects and people
- Registration records for vehicles and registered machines
- Documents per item: manuals, certificates, invoices
- Planned intakes for equipment on order

History
Meter readings, services and compliance events as an append-only history
Readings from the site, service visits, inspections and calibrations are recorded as events with a date, a source and a person. The current state is derived from the latest valid event, so the history is never overwritten and the next due date is always computed, not typed.
- Meter readings with validation against the previous value
- Service events and compliance events with due dates
- Bulk recording of compliance events after an inspection day
- Calendar of everything due, per site and per responsible person

Inventory and consumables
Stock that matches what is actually on the shelf
Intake, issue and return per location, consumption booked against projects and work orders, and stock levels that tell you what to reorder before the crew runs out on site.
- Stock per location with operations history
- Consumption per project, work order and person
- Traceability from purchase to use

Works together with
Projects and work orders
Equipment is allocated to projects; usage and readings recorded on work orders update the item’s history.
HSE and risk management
Equipment is a risk source in assessments; an overdue inspection is a hazard you can see.
HR documents and certificates
Only workers with the right certificate can be assigned to equipment that requires one.
Frequently asked questions
Do we need barcodes or RFID tags on every item?
Identifiers help but are not required. Items can be found by name, serial number, location or catalog. Labels can be printed from the system when you decide to tag.
Can site staff record readings from the phone?
Yes. Meter readings, moves and consumption are recorded in the mobile app and validated against the previous values.
What happens when an inspection is overdue?
The item shows an overdue status in lists and on the calendar, the responsible person is notified, and the status is visible wherever the item is assigned.
